Printing/Copying Billing Code System

Hamline students upon registration are provided with a “printing and photocopying” billing code. This number is different from your Piperline PIN number and is used exclusively for printing and photocopying. If you forget it, you can always retrieve it by logging onto Piperline.

When using the open lab computers you can print to the public digital imaging machines (combined printers/photocopiers) by entering this number at your PC.

To use any of the public digital imagers for photocopying you can swipe your ID card which is encoded with your billing code in the magnetic strip on the reverse side of the card. Walk-up (i.e., community visitors, alumni, etc.) users and graduate students may print or photocopy in the public computer labs by purchasing a card from Vendacard machines available in the computer labs and libraries, which contain a 7-digit billing code pre-loaded with fixed monetary amounts. These cards can be “re-charged” at the cashier’s window or a new card can be purchased

Frequently Asked Questions for All Students
During the Summer of 2002 Hamline University converted to a Personal Billing Code based printing solution for all students. Whereas the previous printing system relied upon magnetically encoded plastic cards to release print jobs, the new system simply requires a unique Billing Code number that is associated with each student and student account. New printing Billing Code  numbers will be distributed to all new CLA undergrad and Law Students at the beginning of each Fall Semester. Students who already have received a printing Billing Code number from the previous year(s) will continue to use the same number. (Note: This is a unique number that is assigned only to you that is NOT the same as the Piperline PIN number provided to you to access your student accounts, grades, print accounting, etc.)

How does the Billing Code system work?
All of Hamline’s public computer labs are under the new Billing Code system. When a student wishes to print, they prepare their document as usual and after clicking the ‘print’ icon in whichever program they are using, a small dialogue box will appear asking them to insert their Billing Code number. They can then send a print job to the printer that has been selected by simply typing in their unique printing Billing Code number and pressing ENTER. Your print job will be sent and automatically printed to the printer. The charge for the printing will automatically be billed to your student account at 10 cents per page. Student Accounts is then in charge of handling the billing and money collections.

The new printers that have been installed are actually “multi-functional digital imaging devices” (i.e., they are a combination copier AND printer). To ensure that copy jobs are kept separate from print jobs, copy jobs will come out of the top exit tray (A) while print jobs will come out of the bottom exit tray (B). On some machines (i.e., those without a stapling/binding, etc. finishing unit) both copy jobs and print jobs will exit from the same tray. Although each job is offset to separate them from others, it is important that users pick up their print jobs immediately after they send the job to the printer. It is the responsibility of the user to collect their print job. You are billed for your printing whether you pick it up or not.

Billing - *VERY IMPORTANT*
All print jobs sent to the printer are charged to your student account Your printing Billing Code number is a unique number that is tied directly to your student account. It is not unlike a credit card in that you need to take appropriate precautions to safeguard your printing Billing Code number. You can view your printing/copying history and charges via your PiperLine account.

Each time you use your printing Billing Code number it is reported to a software program that records the number of pages you printed and bills the amount to your student account. You should therefore never run into the situation where you are unable to print due to lack of money on a print card or lack of availability of a print card. As long as you know your printing Billing Code number (obtainable through your Piperline account under ‘Hamline ID Card Information’ page) you will be able to print. We believe this is the best solution for students, particularly during ‘finals’ and the end of terms when the majority of printing is done.

What if I'm not a student or do not have a Billing Code number?
Non-student community members, alumni, and others may use the computer and printing facilities of the Hamline University Computer Labs. Similarly, students may choose not to use their official printing Billing Code number (though we discourage this). In these cases (and if a printing Billing Code number is not working for whatever reason), a separate printing Billing Code number can be purchased from one of vending machines for this purpose located in the computer labs. These printing cards are pre-charged with $4.00 worth of printing and cost $5.00 per card. The printing Billing Code number associated with the card can be “re-charged” at the Cashier’s Window (Law-Grad 113E) without purchasing another $5.00 card.

What if I lose my printing Billing Code number or it's not working?
You can always find your printing Billing Code number via logging into your Piperline account: http://web.hamline.edu/piperline.html and going to the ‘Hamline ID Card Information’ page (you’ll need your Hamline ID number and Piperline PIN number to login; if you do not know your Piperline PIN number you’ll need to visit Student Administrative Services in Law-Grad 113E). What if I have a dispute with printing charges on my account?
Once you’ve entered your printing Billing Code number, a software management program for printing both releases the print job, and tracks the charges for each print job. You can view your current print charges through Piperline. If you have a dispute with the printing charges please contact the Helpdesk in Bush Library at (651) 523-2220 or itshelp@gw.hamline.edu. You can also submit the request from the Display Printing Detail Information page in Piperline.

Can I use my printing Billing Code number to make copies on the digital imager?
Yes, your printing Billing Code number can also be used on the ‘access control devices’ located on or near each Digital Imager (printer/copier). You can either punch your printing Billing Code number into the touchpad of the access control device or use your Hamline ID card in the access control device’s card swipe reader (your Hamline ID card has your printing Billing Code number encoded into the magnetic stripe on the back of the card. Just as with printing, all of your copying will be automatically billed to your student account. Access to copying charges, history, etc are in your Piperline account. The same procedures that apply to printing also apply to copying in regards to billing and disputes.

What if I lose my Hamline ID Card?
Your Hamline ID card is akin to a ‘charge’ card in that anyone can pick it up and use it to: 1) print/copy 2) check out books, and 3) charge meals (if you’re on the meal plan). If you lose your Hamline ID you must first go to the Cashier’s office and pay the $10.00 replacement fee. Once you have been issued a receipt from the Cashier’s office you then must proceed to the Office of Safety and Security where the ID card machine resides. The Security Officer on duty will first create a new set of barcodes and magnetic stripe data in the administrative computer system (Banner) that will simultaneously expire the old barcodes and magnetic stripe data. They will then print a new Hamline ID card with the new barcodes and magnetic stripe data. Your new printing Billing Code number will then also show up in Piperline. All existing charges to your old printing Billing Code will still carry over to your student account along with charges you occur on your new printing Billing Code .

What if the magnetic stripe does not work on my Hamline ID card?
You can temporarily type in your printing Billing Code number on the touchpad of the access control devices attached to the Digital Imagers (copier/printer) for copying. At your convenience you can bring your Hamline ID card to the Computer Support Services office located in Bush Library Room 18 where a staff member will test the magnetic code. The staff member will fix the magnetic stripe if it is incorrect or garbled. If the staff member is unable to fix the magnetic stripe, they will make a referal to the Office of Safety and Security to have a replacement Hamline ID created (it will be identical to the existing ID card as there is no need to create new barcodes or magnetic stripe data). You will be required to hand over your existing ID card in order to get the new ID card. The existing ID card with the bad magnetic stripe will be immediately destroyed by the security officer as soon as the new ID card is issued. There will be no charge incurred for this process provided that the existing Hamline ID card has not been mangled or tampered with which will then necessitate the $10.00 card replacement fee and procedure. (Please do not go to the Office of Safety and Security and tell them that CSS has said that they should issue you a new ID-we have a verification process in place to deal with defective ID card replacements and you’ll just make them mad).
